AR Credit & Collections Setup and Administration

 

This section covers the initial setup and general administration of AR Credit & Collections.

 

Initial Setup

 

The following steps are needed for initial setup of AR Credit & Collections:

 

1.    Initial setup of AR Credit & Collections requires that multicurrency be setup properly within Microsoft Dynamics GP.  A company will need to set at least one currency type as a “functional currency” within Multicurrency Setup in Dynamics GP. Additionally, ISO codes need to be assigned to any currencies used within their Dynamics GP database.  Contact Microsoft Dynamics GP support for more information.

2.    Define Security Profile Setup records to grant appropriate access privileges.

3.    Update Personnel Setup records for collectors and sales personnel (for the AR Collections Inquiry).

4.    Update Web Service Security for personnel (see Web Service Security Setup for AR Credit & Collections).

5.    Define Activity Type Setup records.

6.    Define Result Type Setup records.

7.    Define Note Type Setup records.

8.    Define Alert Group Setup records.

9.    Define Alert Setup records and associate them to Alert Groups. Optionally create a default group to apply to all customers.

10.  Turn on Customer Credit Verification.

11.  Optionally use the Setup Customers By Class function to assign Alert Groups to customers by their Microsoft Dynamics GP class assignment.

12.  Optionally set the flag within AR Aging By Setup.

13.  Execute the Data Warehouse Refresh. Optionally, schedule the data refresh (see Data Warehouse Refresh Job Scheduling). The data refresh affects the AR Collections Inquiry as well.

 

Setup Area

Description

Activity Type Setup

Define the value available for the Activity Type field in Log Activity.

Alert Setup

Establish the criteria needed to generate alerts using this setup.

Alert Group Setup

Create groups of alerts assignable to customers within this setup.

AR Aging By Setup

This function allows the application to base transaction age on the Document Date or Date Posted.

Customer Credit Verification Setup

Prevent customers with a poor standing within your organization from being assigned to orders by enabling this setup.

Data Warehouse Refresh

Users can update AR Credit & Collections data with the latest from Microsoft Dynamics GP with this function. Additionally, this function reassesses all alerts based on the latest criterion.

Your company will need to perform a data refresh in order to effect changes made within all AR Credit & Collections setup areas.

The AR Collections Inquiry also relies on the data warehouse for its reporting.

Note Type Setup

Users can create notes referenced specifically by the AR Collections Report and AR Collections Inquiry are of a Note Type of “Collections.”

Personnel Setup

Define collectors as employees with Status of “ACTIVE” and Labor Type of “Collector” and at least one Assigned branch must have the Module of “AR Credit & Collections” set to “Full” access.

Users can assign collectors to tasks in AR Credit & Collections and to customer accounts through Customer Settings.

Result Type Setup

Define the value available for the Result field in Log Activity.

Security Profile Setup

Enable the “AR Credit & Collections” module for branch access for employees with Assigned branches set in their Personnel Setup.  These users are able to perform most tasks in AR Credit & Collections. 

Set Access Type to “Full.” Read only does not apply.

Users assigned to branches with the Manager flag set are able to access the Customer Settings screen, where they can manage credit limit settings and customer contacts.

 

IMPORTANT: 

For MoversSuite users to update data through Customer Settings, the Microsoft Dynamics GP web service security must grant them appropriate security privileges to make the changes.

 

To access the AR Collections Inquiry screen, users must have at least one branch assigned to the “AR Collections Inquiry” module.

Setup Customers By Class

Use the setup to assign an alert group to a known Customer Class and/or Collector.
